How are ConsentCollect plans structured?

ConsentCollect offers transparent, usage-based subscription pricing designed for medical practices and research trial coordinators. We charge based on active patients or studies, never per envelope.

What is the Free Forever Sandbox Tier?

Every user receives a time-unlimited Free Sandbox upon registration. This sandbox enables complete, end-to-end clinical compliance testing without credit card entry or time limits.

What are the limits of the Free Sandbox?

  • 1 Active Form: You can build, digitize, or test exactly one active consent form.
  • Max 5 Signers/Participants: The active form can involve up to 5 total participants. This limit includes the clinician/sender, patient/subject, Legally Authorized Representative (LAR), witness, and interpreter.
  • All Features Active: You have access to all premium infrastructure, including Clara AI assistant checks, OCR digitization, automated translation, and forensic SMS notifications.

What are the Paid Tiers?

If your practice requires more than one active form or more than 5 signers, you must upgrade to a paid subscription:

Clinician & Practice Tiers

Designed for outpatient clinics, surgical teams, and specialty practices:

  • Practice Lite ($49/mo): Solo clinicians. Includes 1 Staff Seat, 35 active patients per cycle.
  • Practice Pro ($149/mo): Growing clinics. Includes 2 Staff Seats, 100 active patients, custom branding, and Clara AI insights.
  • Practice Elite ($399/mo): Multi-specialty networks. Includes 2 Staff Seats, 500 active patients, geo-fencing, and same-room QR handoff.

Research & Clinical Trials Tiers

Designed for grant-funded researchers, institutional labs, and Contract Research Organizations (CROs):

  • Research Lite ($149/mo): 2 Research Seats, 2 active studies, unlimited participants.
  • Research Starter ($399/mo): 2 Research Seats, 5 active studies, Double-Lock OTP gateways, and biospecimen opt-in blocks.
  • Research Pro ($999/mo): 2 Research Seats, 15 active studies, full IRB feedback workspace.

What is the Refund and Trial Policy?

ConsentCollect maintains a strict policy regarding trials and billing to protect the variable costs of our AI, SMS, and forensic verification systems.

Are there free trials on paid plans?

No. Because all features are fully testable in the Free Sandbox, paid upgrades activate billing cycles immediately. There is no trial period on paid tiers.

How does the strict refund policy work?

Refunds are strictly limited to protect our third-party infrastructure costs:

  • 3-Day Grace Period: Refunds are only eligible within three (3) days (72 hours) of purchase.
  • Zero-Usage Rule (Strict Forfeiture): A refund will not be granted if any usage has occurred on the upgraded account. Upgraded accounts immediately forfeit refund eligibility if they have:
    • Digitized or created a form using OCR or Clara AI.
    • Sent a signature request or invite link to any participant.
    • Collected any patient signature or initials.
    • Finalized or locked a consent document draft.
  • accidental Upgrades: If you upgraded in error, do not perform any actions in the dashboard, and contact hello@consentcollect.com immediately within the 72-hour window.
